Delivering Exceptional Events Worldwide with Precision and CreativityGet In TouchOur New Remote World
Client: A Global Tech Company
Style: International Events
Event: Multiple Corporate Internal Holiday Parties
The client made a decision for their 2021 Holiday Parties to outsource all of their events, across the UK, Europe and the USA, to a single corporate event agency. Their key aim was to produce a high standard of events across the board internationally. They were also keen for the events to be linked, designed and produced with one overriding vision.
After considering a number of event companies both in the US, Europe and the UK, we were thrilled to receive the news that our event management agency team had been selected for the job. We have worked with their events team for a number of years; designing and producing their London Holiday parties, Hack events and various internal social and office events. Therefore the client already knew us, and our corporate event services process, well.
As a large, international technology provider, our client were ahead of the game regarding remote working. Their internal teams have been working smoothly across continents well before the emergence of covid, and as such their events team is fully international. The move towards remote working across the world did aid us considerably in our international planning process however, with venues and suppliers being used to this now as the new norm.
The Brief
The client’s main goal for their 2021 Holiday Parties was to provide a set of engaging, winter themed celebrations, for all of their internal employees to attend and enjoy. However the most important factor in the planning for our global corporate event agency, was that these parties were to be provided in a manner which would be as low risk as possible for guests.
The events were to take place in eight different worldwide locations; New York, London, Washington DC, Paris, Munich, Seattle, Palo Alto and Denver.
In all these locations our corporate event production team created a set of fabulous winter themed parties with an abundance of exciting entertainment and unique, fun filled activities.
Covid
2020 was a ghost landscape as far as the events world was concerned. As such, planning a party in 2021 came with a number of new considerations which the client was highly focused on.
First and foremost was the issue that guests may feel uncomfortable returning to indoor events, with this being the first party a number of people had attended since 2019. Therefore our client requested that when venue sourcing we must only supply venues with a significant exterior space.
In previous years one large party was the norm. This year our corporate event management team were given the task of arranging a series of smaller parties on consecutive dates in multiple locations. This allowed each guest to attend their preferred location, but avoided the issue of large guest numbers and overcrowding. Keeping the risks as low as possible.
Denver
The stunning high end restaurant EDGE was the venue chosen for the party in Denver. Decorated with winter fir trees, sparkling silver backdrops and atmospheric event lighting, the space had a magical winter feel that guests loved. The main event entertainment were a fantastic karaoke band, ‘Rock-e-Oke’, who were a big success. Warming up the stage the band performed a series of popular hits, then got guests up to sing along until the end of the night. Everyone joining in, including upper management! An enticing prospect even for the corporate event services team. Catering, cocktails and a photo booth were enjoyed throughout the evening, with a theatrical Fire & Ice Dessert Station opening up later on proving a great end to the night.
HIGHLIGHT: The Rock-E-Oke Band was a massive hit with guests.
New York
The McKittrick Hotel was an amazing fit for the New York party, hosting 800 guests across three floors of themed spaces, including the gem of the ball – a sparkling winter rooftop. Guests arrived through an atmospheric entrance maze, to discover a vintage cabaret bar with a live performance trio, canapés and cocktails. Exploring the space, guests discovered our activity room ‘The Library’ where they could compete with their colleagues whilst playing Shuffleboard and pose in the vintage phone booth photo op. At 7pm our corporate event production team opened the main Ballroom for the client’s toast. Overhead, an abundance of white and blue stage lighting and atmospheric haze created a wow factor, with snowflake gobos glistening on the floor. ‘The Big Woozy’ band took to the stage with an energy filled performance that got all the guests dancing. As the evening continued guests made their way up to the outside winter rooftop bar, decorated luxuriously in fur rugs, snowy trees and swathes of twinkling fairy lights. A DJ provided the final hurrah for this fabulous event, with guests on the floor right up until closing.
HIGHLIGHT: The Big Woozy band were phenomenal.
Washington DC
Our global event management team loved the Washington Hotel, a stunning venue with views of the White House from its amazing fifth floor location. Guests arrived via elevator, to have their breath taken away by the venue’s spectacular views. The event space was split into three rooms, the Sky Lounge, Sky Bar and Elevation. Guests mingled in the Sky Lounge, sipping cocktails enjoying a range of Hor D’oeuvres, with music in Elevation from a live band, lit in white and blue winter tones. At 7.30pm our event management agency gathered guests in for a toast on stage, followed by some enthusiastic dancing on the dance floor. A pair of elegant food stations were eagerly visited by guests throughout the night, and a sophisticated Whiskey Tasting station went down a storm. The Sky Bar held the real gem of the event however – a massive, inflatable snow dome Photo Booth! Guests tapped into their inner child, jumping up and down in the snow to create wacky airborne poses. Overall a sophisticated, fun filled party enjoyed by 400 elegant guests.
HIGHLIGHT: The Snow Dome photo booth was so much fun.
Palo Alto
The Mountain Terrace set in the remote mountains of Palo Alto, was a stunning retreat from Silicon Valley and nearby San Francisco. As our warmest location out of multiple global event management venues we wanted to ensure the winter theme shone through, and as such we went to town with the decor at this venue.
We dressed the venue with snow covered fir trees, white leather sofa seating and blue and white uplighting. On arrival guests nibbled on canapés and enjoyed welcome Prosecco whilst an opening acoustic guitarist set the scene. A stylish Airstream photo booth was positioned on the lawn, illuminated overhead with strings of warm festoon lighting. Once guests settled into the event a DJ took over and we opened a set of food stations including a very popular Carvery. The venue had a sound restriction banning amplified music. As such we decided to offer a Silent Disco – which turned out to be a huge hit, with guests on the floor all night. Definitely a fun sight for our corporate events company team to witness! Once dusk fell, guests clustered round a set of fire pits warming marshmallows as a lovely finale.
HIGHLIGHT: The Silent Disco was an absolute blast.
Seattle
Aqua by El Gaucho is a sophisticated five star restaurant set on the waterfront, that made for an exclusive setting for the Seattle event. As expected the venue’s catering was to die for, including famed fresh seafood offerings. Alongside delicious cocktails, the Premier Wines and Whiskey Tasting stations were exceptionally popular with guests. A local DJ played a selection of hits throughout the evening, keeping the mood going, and a unique mosaic photo booth was a fun activity. Our event management agency team particularly remember the star of the Seattle show: a live magician, who was charming and charismatic – with guests seeking him out throughout the night!
HIGHLIGHT: The remarkable Magician baffled and stunned the guests throughout the night.
Paris
The Museum ‘Musee Des Arts Forains’ was a fabulous host site for the Paris party. The enchanting 1920’s Parisian styling made this venue breathtaking, and the incredible variety of real, working, vintage fairground rides and games was stunning. Along with excellent game hosts, this made the experience unique and incredibly entertaining for guests. As such, the focus of our corporate events company was to enhance the party with live catering stations (such as cooking crepes in front of guests before showing them to the chocolate fountain), a cocktail bar and a selection of cabaret performances throughout the evening. Most notable was the silks performer, spinning dramatically down from the ceiling. Even the outside space was filled with fantasies, with fairground horses protruding from the walls and can-can skirts suspended from the arches. It was the perfect setting to add our fire and live-music stilts performers to. A thrilling venue for our corporate event production team to work in.
HIGHLIGHT: The vintage attractions were fantastic.
London
The London parties were situated at the exclusive private members establishment The Century Club, in the heart of Piccadilly. Featuring creatively designed lounges and terraces set across five floors, this was an ideal setting for our corporate event client. Particularly considering the venue’s star space the Rooftop Restaurant, with its retractable roof and sparkling Christmas lights.
The parties themselves took place across two dates in December, based in the Rooftop Restaurant and one other floor. The parties featured a fantastic DJ on the dancefloor which had guests dancing in unison to known hits, a glitter bar for guests to get into the festive spirit, and a 360 photo booth. Our corporate event services team even made sure there was a chill out bar for guests who wanted somewhere quieter to relax and chat.
HIGHLIGHT: The Rooftop Restaurant was a stunning setting.
Munich
The Munich event was hosted in the ultra modern and breathtaking Hoch 5 event space. Situated on the 5th floor, the venue boats gorgeous views of the surrounding areas. Guests ate exquisite canapes and small plates throughout the night, paired with hipsters cocktails. For entertainment, our corporate event management team organised for a collection of vintage arcade games such as pac man and pinball machines to be added to the space. This fun element was complimented by the DJ’s cool and vibey sounds and a photographer that was stationed at a red photo booth to capture the night. Guests were also able to access the panoramic balcony, lit to match the party, on this snowy German evening.
HIGHLIGHT: The venue itself was awe-inspiring.
